Set Up ABA Files for Client Payments

As an accountant managing payroll for clients, you can configure ABA file generation for each client so they can process employee payments through their bank. Each client needs their own bank details configured for ABA files.

Configuring ABA Settings for a Client

  1. Navigate to My Clients and open the client's workspace.
  2. Go to Settings > Bank Details within the client's workspace.
  3. Enter the client's business bank account details:
    • BSB — the client's bank/branch code.
    • Account Number — the client's business bank account number.
    • Account Name — the name on the bank account.
  4. Enter the Direct Entry User ID (APCA ID). The client will need to obtain this from their bank if they do not already have it.
  5. Enter the Bank Name.
  6. Click Save.

Verifying Employee Bank Details

Before generating ABA files, ensure all employees have their bank details entered:

  1. Go to Payroll > Employees within the client's workspace.
  2. Check each employee has:
    • BSB and account number.
    • Account name matching their bank account.
  3. Employees without bank details will be excluded from ABA file generation.

Generating and Sending the ABA File

  1. Open a finalised pay run for the client.
  2. Click ABA File (or Actions > Download ABA File).
  3. The file will download to your computer.
  4. Send the ABA file to the client via a secure method (e.g. encrypted email, secure file share).
  5. The client uploads the file to their internet banking portal and authorises the batch payment.
tip

Consider setting up a secure file-sharing method with your clients for ABA files, as they contain sensitive bank account information. Avoid sending ABA files via unencrypted email where possible.
