Add New Employees
Adding employees to MyAccountant is the first step to running payroll. This guide walks you through entering all the details you need to get an employee set up and ready to be paid.
Navigate to Employees
- From the main menu, go to Payroll > Employees.
- Click the Add Employee button in the top-right corner.
Enter Personal Details
Fill in the employee's basic information:
- First Name and Last Name (required)
- Date of Birth
- Email Address — used for payslip delivery and portal access
- Phone Number
- Residential Address — required for tax and superannuation reporting
Set Employment Details
Configure how the employee is engaged and paid:
- Start Date — the date employment commenced
- Employment Type — Full-time, Part-time, or Casual
- Pay Rate — hourly rate or annual salary
- Pay Cycle — Weekly, Fortnightly, or Monthly
- Hours Per Week — standard ordinary hours (e.g. 38 for full-time)
Configure Tax Details
Enter the employee's tax information from their Tax File Number Declaration:
- Tax File Number (TFN) — if not provided, tax must be withheld at the highest marginal rate
- Tax-Free Threshold — whether the employee has claimed the threshold with you
- HELP/HECS Debt — tick if the employee has a Higher Education Loan
- SFSS Debt — tick if the employee has a Student Financial Supplement Scheme debt
- Tax Variation — enter any ATO-issued tax variation rate if applicable
Add Superannuation Details
Set up the employee's super fund:
- Fund Name — search by name or USI (Unique Superannuation Identifier)
- Member Number — the employee's membership number with the fund
- USI — the fund's Unique Superannuation Identifier
- Contribution Rate — defaults to the current Superannuation Guarantee rate
If the employee has not nominated a fund, your organisation's default super fund will be used.
Save the Employee
Once all details are entered, click Save. The employee will appear in your employee list and be available for inclusion in pay runs.
Bulk Import
If you need to add multiple employees at once, you can use the Excel import feature to upload employee data in bulk.
Tips
- Double-check the TFN before saving — an incorrect TFN can cause issues with Single Touch Payroll reporting.
- Make sure the start date is accurate, as it affects leave accrual calculations.
- You can edit employee details at any time from their profile page.
