Export Pay Run Data to Xero

After finalising a pay run in Myaccountant, you can export the payroll journal to Xero. This creates the appropriate debit and credit entries in your Xero general ledger for wages, PAYG, super, and net pay.

Prerequisites

  • Your Xero account must be connected.
  • Ledger accounts must be mapped.
  • The pay run must be finalised.

Steps to Export

  1. Navigate to Payroll > Pay Runs and open the finalised pay run.
  2. Click the Export to Xero button (or find it under the Actions menu).
  3. Review the journal preview showing:
    • Debit: Wages expense account (gross pay).
    • Credit: PAYG withholding liability, super liability, wages payable (net pay).
  4. Confirm the journal date — this defaults to the pay run payment date.
  5. Click Export.
  6. A confirmation message will appear once the journal has been posted to Xero.

Verifying in Xero

  1. Log in to Xero.
  2. Navigate to Accounting > Manual Journals.
  3. Locate the payroll journal by date or reference number.
  4. Verify the entries are correct and the amounts match the pay run summary.
caution

Do not export the same pay run to Xero more than once, as this will create duplicate journal entries. If you need to correct a previously exported journal, delete the journal in Xero first, then re-export.

Handling Corrections

If you edit a submitted pay run after exporting to Xero:

  1. Delete the original journal in Xero.
  2. Re-export the corrected pay run from Myaccountant.
