Import Employees from Xero
If you already have employee records in Xero, you can import them into Myaccountant to avoid re-entering employee details manually. This is especially useful when migrating your payroll from Xero to Myaccountant.
Prerequisites
- Your Xero account must be connected.
- Employees must exist in Xero's payroll module.
Steps to Import
- Navigate to Payroll > Employees.
- Click the Import button and select Import from Xero.
- Myaccountant will fetch a list of employees from your connected Xero organisation.
- Review the employee list. You can:
- Select individual employees to import.
- Use Select All to import everyone.
- Click Import Selected.
- Myaccountant will create employee records with the following data from Xero:
- Name and contact details.
- Date of birth.
- Tax file number (TFN).
- Employment start date.
- Ordinary hours and pay rate.
- Super fund details (where available).
After Importing
After the import is complete, review each employee's profile to ensure all data transferred correctly:
- Go to Payroll > Employees and click on each imported employee.
- Check and complete any missing fields, particularly:
- Pay schedule (weekly, fortnightly, monthly).
- Default pay items — assign the relevant pay items.
- Super fund member number — verify this is correct.
- Tax settings — confirm tax-free threshold and HELP debt status.
- Click Save after reviewing each employee.
caution
Importing employees does not import historical pay run data or leave balances. You will need to enter opening leave balances manually for each employee.
